How to route a document using DocuSign

Besides using shared templates for forms like Expense Approval Forms (EAFs) or Contract Routing Forms (CRFs), you can send any document to anyone for an official signature. The process is referred to in DocuSign as creating and sending an envelope. In DocuSign parlance, the Envelope is a single document or a bundle of documents sent to anywhere from one to numerous signatories, requiring a signature or acknowledgement of some kind.

This document will show how to create an Envelope, prepare it for signing, and send it off for signature.

Steps:

  1. Log onto DocuSign using Single Sign-On. You can do this through 0365 > All Apps or by going to DocuSign.com > Sign In.

 

 After launching DocuSign, click the blue “Use Company Login” button to sign in using Single Sign-On:

 

  1. To upload a document into your envelope, drag and drop any files into the area specified on the Home page:

 

  1. After the document has been uploaded, you can upload additional supporting documents to the envelope by clicking Upload.


 In this example, there is only one document in the envelope.

 

  1. To specify a recipient, enter their contact information in the initial fields provided. Every envelope must have at least one recipient to be valid. Specify what the recipient needs to do with the document by clicking the down arrow next to Needs to Sign. The default is Needs to Sign.


To add recipients, click the Add Recipient button for every new recipient, and specify what they need to do with the document (sign, view, etc.). If the signatures must be obtained in order, click Set Signing Order and specify the order by numbering or dragging the recipients up or down in order.

 

  1. To customize the email subject and message, enter or change text in the message fields provided:

 

  1. Click the Next button at lower right.
  2. Each recipient specified will have a color associated with all fields included with their signature.

In this example, Erika, the recipient, is coded Yellow:

To add a signature, date or any other field to the recipient, drag the field from the left selection of fields to the area on the document you’d like to field to appear. There’s no limit to the number of fields you can put on a document, and to add signatures for another recipient, select a new recipient underneath the name of the primary recipient, and the fields will be marked with a different color for them.

 

  1. After all fields have been added for all recipients, it’s time to send the envelope. (If you close DocuSign at this point, the envelope will be saved to the Drafts view.)

To send the envelope, click the Send button at lower right.
